Link and Export to Bidspotter (GAP)

By linking your Wavebid account with your Bidspotter (Global Auction Platform) account you get a few features that help you speed your workflow:

  • Exporting your catalog directly to Bidspotter servers.
  • Export and re-export your catalog as many times as necessary.
  • After the sale is done you can import your sale results and buyers directly from Bidspotter servers.

The fastest way to do this is to have both Bidspotter and Wavebid open in separate browser windows so you can switch back and forth with a minimum of trouble.

The linking process itself only needs to be done once. After that you only need to obtain the GAP Reference ID for each one of your auctions so you can enter it in the Wavebid Auction Settings page.

Obtain Bidspotter Information

Username and Password

  • The username used to login to Bidspotter.
  • The password used to login to Bidspotter.

Bidspotter Reference

  1. In Bidspotter click on the Directory link at the top of the page.
  2. Locate your company and go to your company’s calendar page.
  3. Copy everything after http://www.bidspotter.com/en-us/auction-catalogues/ in the address bar of your browser.

Bidspotter Reference ID

  1. Create an auction in Bidspotter.
  2. Go to the Auction Details page.
  3. The Reference ID will be underneath the auction title.

Link Wavebid to Bidspotter

This is done in Wavebid by a user with admin account authorities:

  1. From the Dashboard, go to My Links > Company > Cataloging Settings > Export.
  2. In the Select an Export Format dropdown, choose Bidspotter (GAP).
  3. Type in your Bidspotter username in GAP Username.
  4. Type in your Bidspotter password in GAP Password.
  5. Type in your Bidspotter Reference.
  6. Click Save on the top right corner of the page.

Again, this process only needs to be done once.

Configure Auction

This process needs to be repeated for each sale that will be exported to Bidspotter. You only need the GAP Reference ID.

  1. From the Dashboard, go to Auction > Edit Settings.
  2. In the Auction Attributes tab change the Auction Software dropdown to Bidspotter.
  3. In the Bidspotter Auction ID box, type in the Auction ID number you obtained from Bidspotter.
  4. Click  Save on the top right corner of the page.

Export Auction

  1. From the Dashboard, go to Auction > Export Auction.
  2. Double-check your export options:
    • Lot Options: Default is to export All Lots.
    • Catalog Options: Make sure Generate Catalog is checked, and Data Mapping is the proper Bidspotter auction type (live or timed).
    • Photo Options: Make sure Zip Photos is checked. You can enable the rest of the options if needed.
  3. Click Export Auction. You can go over to the Export Monitor if you wish.

The time it takes to export the auction is determined by the size of the catalog file and how many photos you have attached to each lot. Once this process done Wavebid will create two files:

  • One will be CSV file containing your entire catalog of lots.
  • The other will be a zip file containing all of your photos.

You can download these files from the Export page; there will be two panels on the right side of the page. One will contain Previous Catalogs, the other one will contain Previous Photos.

Once Wavebid is done building both files it will connect to Bidspotter and post the CSV catalog file followed by the photos; at this point please allow a few minutes for the auction to be processed and updated in their servers.

 

Recommended Photo Settings

  • Maximum photo size is 6MB. The photos should preferably be no bigger than 1000x1000 pixels. However, as long as it is less than 6MB and in JPEG format, there is no pixel size limit.
  • Note that the size of the images can affect the speed of a slide show if you intend to run one during a live event, which is why we suggest 1000x1000 pixels for best performance.
