Create Universal Export Files

There will be times when you need to download the catalog file and your photos so you can upload them manually to a service we do not have an API integration for. This process is also useful when you are linked to a service but you would like to download your catalog and photos without having them be exported.

This process will result in two files:

  • A CSV (comma-separated values) file in plain text that you can open with spreadsheet software.
  • A ZIP file containing all of the photos for your lots except for photos labeled as barcodes.

Auction Settings

  1. From the Dashboard, go to the auction workspace, then Auction > Edit Settings.
  2. In the Auction Attributes tab switch the Auction Software dropdown to Universal.
  3.  Save your auction.

Create Export files

  1. From the Auction Settings page go to Current Auction > Auction > Export Auction.
  2. Configure the export files to be created the way you would like:
    • Lot Options:
      • All Lots: This will export all of the lots currently in the workspace. This is the default.
      • Categories: Only the selected categories will be exported. To select multiple categories hold the Control key on your keyboard while you select them.
      • Lot Ranks: Only the specified ranks will be exported. This requires the Show Lot Rank attribute to be enabled in your Auction Settings. To select multiple categories hold the Control key on your keyboard while you select them.
      • Lot Range: You can specify specific lots: 1, 2, 3 would export lots 1, 2 and 3. 1-10 would export lots 1 through 10.
    • Catalog Options:
      • Generate Catalog: Whether to create a CSV file containing the lot attributes and descriptions. Default is ENABLED.
      • Data Mapping: What data mapping to use when the CSV file. The default is Proxibid - Live.
      • Save as .CSV: What file extension to use. If this option is disabled Wavebid will save the file in .txt file format. Default is ENABLED.
      • Remove HTML: Wavebid will always include any HTML code entered in the lot descriptions or the lot additional descriptions; enabling this option will strip out all of this code leaving only simple text, and HTML entities will be rendered as their characters. Default is DISABLED.
    • Photo Options:
      • Zip Photos: Whether to create a ZIP file containing all of the photos from the workspace except for photos labeled as barcodes. Default is ENABLED.
      • Add Watermark: You can enable watermark text for the photos. For the full details please see this article. Default is DISABLED.
      • New Photos Only: Whether to only include photos that have been uploaded or manipulated since the last export. If you have not created any exports Wavebid will include all of the photos. Default is DISABLED.
      • Thumbnails: Whether to create thumbnail versions of your photos using the pixel dimensions selected in the dropdown. Default is NONE.
    • Marketing Options: For the purposes of this export you can ignore these options.
  3. Once everything is configured and you have reviewed the current summary, click Export Auction. This will queue a process on our servers.

Depending on the size of your catalog you'll want to go to the Export Monitor, where you can view its progress.

Downloading files

Once the export has finished you'll be able to download the files:

  1. If you are in the Export Monitor, go to Current Auction > Auction > Export Auction.
  2. In the Export page you will see two panels on the right side containing your newly created files:
    • Previous Catalogs: You can download the file by clicking on the timestamp link.
    • Previous Photos: You can download your photo ZIP file by clicking on the timestamp link.

These files are named according to the date and time the export server was finished creating the file and you can create as many export files as needed.

If you have linked your Wavebid company account to a bidding platform, Wavebid will always store the resulting export files even though the lots themselves were transferred via API. This provides you with a backup and an alternate means of obtaining your catalog and photos.
