Copy or Move Lots From One Workspace to Another

Wavebid has a few different ways of moving a lot from one workspace to another

Lot Builder or Lot by Photo

Either one of these pages will let you copy a single lot to another single lot in a different workspace or move a single lot to a different workspace.

  • To use Lot Builder: Starting from the Dashboard go to Catalogs > Lot Builder.
  • To use Lot by Photo: Starting from the Dashboard go to Catalogs > Lot by Photo.

Once you are in your chosen page look at the Page Actions menu on the top-right corner of the page and click on the  Copy or move this lot button.

Once you click on the button the Copy Lot window will pop-up giving you a range of options that will change depending on the Action that you choose:

  1. Choose the workspace the lot will be copied to (i.e. the destination workspace).
  2. Enter the lot number the new copied lot will have in the destination workspace.
  3. Choose which lot attributes you would like to copy:
    • Do not alter Seller Codes: By default Wavebid will not copy the current seller code of the lot into the destination lot. For more information about Seller Codes please review this article.
  4. Click OK to start the copying process.

If you enter more than a single lot number during step 2 the lot will be copied multiple times; 1 2 3 it will result in the lot being copied to lots one, two, and three in the destination workspace. The same logic applies when entering a lot range like 1-5, which will result in lot being copied to lots one through 5 in the destination workspace.

Move

  1. Choose the workspace the lot will be copied to (i.e. the destination workspace).
  2. Enter the new lot number the lot will have in the destination workspace.
  3. Choose the lot attributes that will also be moved. Anything not selected will be discarded.
    • Do not alter Seller Codes: By default Wavebid will not copy the current seller code of the lot into the destination lot. For more information about Seller Codes please review this article.
  4. Click OK to start the moving process.

This method lets you move one or multiple lots at the same time.

  1. From the Dashboard go to Catalogs > Lot Bulk Actions.
  2. Using the checkboxes to the left, select the lots you wish to manipulate.
  3. Click  Copy or Move Selected.

At this point the Copy or Move Lots window will popup. Here is where you determine how the lots will be manipulated and it offers a wide range of options when transferring lot data from one workspace to another.

If the lot has already been clerked and appears on an invoice you will see a warning about this fact. If the invoice has already obtained a payment (either full or partial) the invoice itself will not be updated. You will need to remove all payments from it before Wavebid updates the invoice automatically.

  1. Choose the workspace to copy or move the lots to (i.e. the destination workspace). You are able to select the current workspace.
  2. Choose the lot attributes you wish to manipulate.
    • Do not alter Seller Codes: By default Wavebid will not copy the current seller code of the lot into the destination lot. For more information about Seller Codes please review this article.
  3. You can set the action to be performed on all the lots, either Set All to Copy or Set All to Move. You can still override the specific action on a per-lot basis.
    • Destination Lot #: What the new lot number should be after the action.
    • Available: The Quantity of available items within the lot.
    • # to Move: How many of the available items to copy or move.
      • If you copy the lots the available quantity in the original lot will not change.
      • if you move the lots the available quantity in the original lot will be updated accordingly.
    • Action: The operation to be performed on the lot if you wish to override for specific lots.
  4. Click Copy/Move to proceed.

If the lot number already exists in the destination workspace you will receive an error message letting you know of this. You will need to change the lot number to be something different in order to perform the action successfully as Wavebid will not overwrite existing lots in the destination workspace.

Unsold Lots List

This report will always include lots that have not been sold in your auction for any reason:

  • The Reserve price wasn't met.
  • There were no bids entered for it.
  • The lot simply never came up for bidding.

To find it, from the Dashboard go to Accounting > Reports > Unsold Lot List, then click on the Move button. You'll want to configure the  Options to make sure the report displays all the lots you wish to manipulate.

At this point the Move Lots window will pop up.

  1. Select the workspace you wish to copy or move the lots to (i.e. the destination workspace).
  2. Select the action you with to perform:
    • Move will transfer all the lots from this workspace to the destination including all of the lot attributes
    • Copy will create a copy of the lots in the report in the destination auction.

If the lot numbers already exist in the destination auction Wavebid will append a * character to their lot number. At that point you can decide how to change the lot numbers.
